How do I register on NRIMS and start a new protocol submission?
1.Click on the register account tab on nrims.uncst.go.ug
2.To register, use your email address as your username and create a password of your choice.
3.An activation link will be sent to your email � check your inbox or spam/junk folder.
4.Click on that link to activate your account.
Once logged in, you�ll be redirected to the main dashboard.
From there:
� Select NRIMS (the green application)
� Click �My Protocols�
� Click �Submit New Protocol� to begin
� Complete each section in the tabs. Tabs will turn green once completed
� When all tabs are green and progress reaches 100%, the Final Submission button will appear.
What should I do if I can�t log in � the system says, �wrong username or password�?
If your username or password isn�t working, reset it as follows:
1. Click �Returning User.�
2. In the pop-up window, select �Forgot Password.�
3. Enter your email address and check your email inbox or spam folder for the reset link.
4. Click the link and follow the instructions to reset your password.
How can I continue my submission from where I stopped?
If your submission is incomplete:
1. After logging in, select the NRIMS application (green)
2. Click �My Protocols�
3. Click �Edit Submission� under the Actions column on your dashboard.
4. Continue filling in each tab � tabs turn green once completed.
5. When all tabs are completed (100%), the Final Submission button will appear.
6. Edit only the tabs that need changes, then click �Resubmit.�
You�ll receive an on-screen confirmation and an email notification after successful submission.
How can I check the status of my submission during the review process?
You can track the progress of your submission in the �Status� column on your dashboard.
You�ll also receive email notifications at each stage of the review process.
Note:
� If your Status shows �Completeness Check� and there�s an �Update Submission� button in the Actions column, click it to update your submission based on the REC�s comments.
� If the Status shows �Completeness Check� but no �Update Submission� button appears, your submission has already passed the completeness check � no action is needed.
How do I update my protocol to address reviewer comments sent by the REC?
If you received reviewer comments:
1. On your dashboard, click �Update Protocol� in the Actions column.
2. The submission will open � make the required edits in the specified tabs.
3. To read the REC�s comments, click �View Comments.�
4. After making corrections, click �Resubmit.�
Where do I fill in my Education and Employment Details?
1. Go to the Protocol Information tab.
2. Click the red �Incomplete� button located at the top left of the page.
3. A table will appear below � click the green �Update� button inside that table.
4. A pop-up will open for entering your education and employment details.
5. Fill in the information and click �Save� at the bottom of the pop-up.
What type of review should I select for my submission?
Choose the appropriate review type based on your study:

Fast Track ? For urgent or time-sensitive reviews
•
Expedited ? For studies involving minimal risk
•
Regular ? For full board review at the REC meeting
•
Exempt ? For studies exempted under institutional policy

I�m having trouble completing the Budget tab � what should I do?
Ensure all fields in the local expenditure table marked with an asterisk (*) have values
greater than zero in at least one of the years.
Also, fill in the Sponsor field located at the bottom of the page.
If you don�t have a sponsor, enter your own name as the sponsor before saving.
I�m having trouble completing the Study Description tab � what should I check?
Make sure you have entered details under �Recruitment Areas.�
Click the orange �Add New� button to open the pop-up form and fill in all required recruitment details.
I already submitted my protocol but forgot to add something or made a mistake � what should I do?
If you�ve already submitted your protocol and realized you need to make changes:
� Click the �Withdraw Submission� button under the Actions column on your dashboard.
� Once withdrawn, click the �Update Submission� button to reopen the protocol for editing.
� Make the necessary corrections, then click �Resubmit� to send it again.
Note: If you do not see the Withdraw Submission option in your Actions column, it means the protocol is currently under review and is uneditable.
The system says a similar protocol title already exists, but I deleted my previous submission � what should I do?
If you previously deleted your submission and now receive a message that �a similar protocol title already exists in NRIMS,� please reach out for assistance through the Tawk chatbot located at the right bottom corner of the NRIMS page.
Share the following details with the support team:
� Your protocol title
� The email address you use to log into NRIMS
The support team will help you clear the duplicate record so you can resubmit successfully.
How do I initiate my Research Permit Application to the Uganda National
Council for Science and Technology (UNCST) for approval to conduct research in
Uganda?
To begin your research permit application process:
1. Go to your NRIMS dashboard and locate your approved protocol.
2. Click the �Sync Data to UNCST� button � this will redirect you to the Research
Permit Application System.
3. On the Permit Application page, find the protocol you synchronized.
4. Click the �Update Submission� button in that protocol�s row to open and
complete your research permit application form.
5. Fill in all required sections and submit for review by the UNCST.
